Donation Refund Policy

At Virtuous Heart Foundation, we are grateful for every donation that supports our mission to transform lives through education, agriculture, and community development in Uganda. We understand that circumstances may arise where a refund is necessary, and we have established this policy to address such situations.

1. General Refund Policy

Donations to Virtuous Heart Foundation are generally considered final and non-refundable. Your generous contributions are immediately put to work supporting our programs and the communities we serve. However, we recognize that exceptional circumstances may warrant a refund request.

2. Conditions for Refund

We may consider refund requests under the following circumstances:

Eligible for Refund

  • Duplicate Donations: If you accidentally made the same donation multiple times due to a technical error or processing issue
  • Incorrect Amount: If you were charged an amount different from what you intended to donate due to a technical error
  • Unauthorized Transaction: If a donation was made without your authorization (fraud or unauthorized use of your payment method)
  • Technical Errors: If a system malfunction resulted in an unintended donation

Generally Not Eligible for Refund

  • Change of mind after making a voluntary donation
  • Donations made more than 90 days ago
  • Donations where a tax receipt has already been issued and claimed
  • Donations made to specific campaigns that have already been allocated

3. How to Request a Refund

To request a refund, please follow these steps:

  1. Contact Us: Send an email to info@virtuousheartfoundation.org with the subject line "Refund Request"
  2. Provide Details: Include the following information in your request:
    • Your full name
    • Email address used for the donation
    • Date of donation
    • Donation amount
    • Transaction ID or receipt number (if available)
    • Reason for the refund request
  3. Verification: Our team will verify your donation and review your request
  4. Response: We will respond to your request within 5-7 business days

4. Processing Time

Once a refund is approved:

  • Credit/Debit Card Donations: Refunds will be processed within 5-10 business days. The refund will be credited to the original payment method. Please note that it may take an additional 5-10 business days for the refund to appear on your statement, depending on your financial institution.
  • Bank Transfers: Refunds may take 10-15 business days to process and may require additional verification.

Please note that we can only refund donations to the original payment method used. We cannot issue refunds to a different account or payment method.

5. Recurring Donations

If you have set up a recurring donation and wish to cancel future payments:

  • Log into your account and manage your recurring donations in your dashboard
  • Contact us at info@virtuousheartfoundation.org to request cancellation
  • Cancellation requests should be made at least 3 business days before the next scheduled donation date

Please note that canceling a recurring donation stops future payments but does not automatically refund past donations.

6. Tax Implications

If you received a tax receipt for your donation and subsequently receive a refund, please be aware that:

  • The original tax receipt will be voided
  • You may need to adjust your tax filings accordingly
  • We will provide documentation of the refund for your records
  • Please consult with a tax professional regarding any tax implications
